Introduction

This Privacy Policy explains how Minicabees Ltd ("we", "us", or "our") collects, uses, stores and protects your personal information. Minicabees Ltd is the data controller for the personal data described in this policy.

Our registered office is Figflex, Office 14 The Bulb, Nelson Gate, Southampton, England, SO15 1GX. We also operate from trading addresses in Basingstoke and London.

We collect only the personal data we need in order to provide the services you ask for, including quoting for, booking and carrying out private hire journeys. By using our website or our services, you agree to the practices described in this policy.

Our Commitment

We are committed to protecting your privacy and handling your personal data securely and in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.

Website Usage & Analytics

We collect information about how visitors use our website so we can measure how it performs and improve it. Our legal basis for this is our legitimate interest in running and improving our website.

  • IP address and approximate location
  • Browser type and operating system
  • Referral source
  • Pages viewed and time spent on them

This information is collected using Google Analytics and Google Tag Manager. Analytics and advertising tools only load once you have accepted them in our cookie banner — see Cookies and tracking below.

Cookies & Tracking

When you first visit our website we show a cookie banner. Nothing other than strictly necessary cookies is set until you make a choice.

  • Strictly necessary — needed for the site to work, for example keeping your booking details as you move through the quote and booking steps, and keeping you signed in. These do not need your consent.
  • Analytics — Google Analytics and Google Tag Manager, used to understand how the site is used. Set only with your consent.
  • Advertising — the Meta (Facebook) pixel, which tells Meta that you visited our site or completed a booking so we can measure our advertising and show relevant ads. Set only with your consent.

You can change or withdraw your choice at any time by clearing this site's cookies in your browser, which will bring the banner back on your next visit. You can also block or delete cookies through your browser settings. Blocking strictly necessary cookies may stop parts of the booking process working.

Customer Information

When you request a quote, make a booking or contact us, we collect the details we need to manage the booking, communicate with you and provide the service. Our legal basis for this is performance of a contract with you, or taking steps at your request before entering into one.

  • Name
  • Email address
  • Telephone number
  • Billing address

If you create an account with us we also hold your booking history and your sign-in details. Passwords are stored in an encrypted form that we cannot read.

Journey & Transfer Information

To carry out your journey we collect information about the trip itself. We share this with the driver, and where necessary with a partner operator, only so far as they need it to complete the journey.

  • Lead passenger name and contact number
  • Pick-up and drop-off locations
  • Travel route
  • Flight or service numbers
  • Travel dates and times

Payments & Card Details

We do not store or retain card payment details. Payments are processed by trusted third-party payment providers, including Revolut and Stripe. Minicabees Ltd does not have access to your full card details at any stage.

Secure Payments

Your payment information is encrypted and processed through PCI-DSS compliant payment gateways.

Communications

We keep records of our communications with you for customer service and operational reasons. Where possible, payment details are excluded from recorded communications, and any payment data captured by accident is deleted.

  • Emails and messages, including WhatsApp messages where you contact us that way
  • Call recordings — calls to and from our office are recorded, and we tell you at the start of the call
  • Customer service interactions

Marketing

We send marketing messages only where you have agreed to receive them, or where you are an existing customer and the message is about a similar service. Our legal basis is your consent, or our legitimate interest in marketing to existing customers.

You can opt out at any time using the unsubscribe link in any marketing email, or by emailing us at support@minicabees.co.uk. Opting out of marketing does not stop the messages we have to send about a booking you have made.

Who We Share Your Data With

We do not sell your personal data. We share it only with the following, and only as far as they need it:

  • Drivers and licensed partner operators — where a journey is carried out or subcontracted to them
  • Payment providers — Revolut and Stripe, to take payment
  • Analytics and advertising providers — Google and Meta, where you have accepted those cookies
  • Address lookup and mapping services — to find and verify pick-up and drop-off addresses and to work out routes and distances
  • Our website hosting and email providers — who store data on our behalf
  • Regulators, insurers and professional advisers — where we are required or entitled to share it

Transfers Outside the UK

Some of the providers we use, including Google, Meta and Stripe, process data on servers outside the United Kingdom.

Where personal data is transferred outside the UK, we rely on the safeguards allowed by UK data protection law: either the country has been judged by the UK government to offer an adequate level of protection, or the transfer is covered by the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

Data Retention

We keep personal data only for as long as we need it. Our retention periods are:

  • Customer and transaction records: up to six years, in line with UK financial regulations
  • Journey data: up to one year
  • Correspondence: up to eighteen months

Your Rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate or incomplete data corrected
  • Ask us to delete your data
  • Object to, or ask us to restrict, how we process it
  • Receive your data in a portable format, or ask us to transfer it to another provider
  • Withdraw your consent at any time, where we rely on consent

We may need to verify your identity before acting on a request. We will respond within one month, which can be extended where a request is complex. There is normally no charge.

Complaints

If you are unhappy with how we have handled your personal data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.
